Utilife Software Publishing operates Utilife and is responsible for handling personal information collected through the service.

Information we collect

We collect account details, business setup information, product usage records, lead/contact submissions, affiliate records (including a payout number you provide), and payment review information such as submitted receipt files when you choose manual payment review.

If you use the loyalty tools, you may enter customer details such as a name and a contact identifier (a phone number or email) so a customer can be recognized across visits. You are responsible for the customer information you enter, and we process it to run the loyalty feature on your behalf.

How we use information

We use information to provide the apps, maintain login and access, review payments, support customers, prevent abuse, improve product reliability, and comply with legal or operational requirements.

Why processing is allowed

Depending on the activity, we process information because it is needed to provide the service or take steps you request, to comply with legal obligations, or for our legitimate interests in securing and improving Utilife, provided those interests do not override your rights. Where consent is required, we ask for it.

Service providers

We use third-party providers for hosting, database, authentication, communication, and payments. These providers process information only as needed to operate the service.

We also use Microsoft Clarity, an analytics service, on our public pages only. It is described under Cookies and tracking below.

If you allow advertising tools, we also use Meta Pixel in your browser and Meta Conversions API from our server. Meta processes information for measurement, advertising, and its own purposes.

Cookies and tracking

We use cookies and similar technologies. Essential cookies keep you signed in and keep the apps working. First-party cookies remember a referral and where you arrived from for up to 30 days so credit is assigned correctly.

On our public pages only, such as the home page, product pages, guides, and demos, we use Microsoft Clarity to understand how visitors move through the site. It records interaction such as clicks, scrolling, and mouse movement, and builds heatmaps from it. We run Clarity on its strictest privacy setting, so page text and images are hidden and anything you type into a field is never captured. Clarity sets its own cookies to recognize a returning visit.

Clarity does not run where personal information is shown or entered. It is switched off on your dashboard, on the admin and affiliate pages, on the sign-in and sign-up pages, and on every customer page reached by a QR code or a shared link, including a loyalty card, an order page, and a bill split.

Clarity is a Microsoft service and the information it collects is stored on Microsoft servers in the United States. Microsoft keeps recordings for 30 days and heatmap data for 13 months. Under the terms of the free version we use, Microsoft may also use that information for its own purposes, including improving its products and building profiles used for advertising.

If you allow advertising tools, Meta Pixel records page visits and selected actions in your browser. Meta may set its own cookies. When an affiliate application is successfully recorded, Meta Conversions API may receive a registration event from our server. That event can include hashed account identifiers, Meta browser cookie identifiers, your IP address, browser information, the referring page, and ad attribution details.

We run Clarity under our legitimate interests, not consent. You can object in one action from the Privacy choices link at the bottom of the page. An objection turns Clarity off in this browser until you allow it again. The choice can be lost if you clear site data or use another browser or device.

Advertising tools are off unless you consent to them. An advertising choice is stored in a separate first-party cookie for up to six months. If that cookie is absent, invalid, expired, or for an older policy version, advertising stays off.

How long we keep information

We keep personal information for as long as your account is active and as long as needed to run the service, meet legal, tax, and accounting obligations, and resolve disputes. Payment receipt files are kept as a record of the payment review. When information is no longer needed, we remove or anonymize it.

Your rights

You can request access to a copy of your personal information, ask us to correct or delete it, object to certain processing, request a portable copy where applicable, or file a complaint with the National Privacy Commission. Some apps also let you export your own data directly from your dashboard. To make a request, use the contact page or email us at utilife.apps@gmail.com. If you are a customer of a business that uses our loyalty tools, please contact that business first, since your details there belong to them.
